Auto Text in Microsoft Word and Outlook

If you have text that you type over and over again, like a product name, policy or whatever, you can make use of the Auto Text / Quick Parts feature in Microsoft Word and Microsoft Outlook. What I especially love about this feature is that it stores the text and the formatting of the text. Here’s an example of how I used this feature. At RSPA we use the short URL “GoRSPA.org” a lot. Without Auto Text, I’d have to do lots of manipulations with font colors and parts in italics to make our ‘brand’ look right. It’s a tedious task and eats up precious time. I’m also challenged to pick the ‘right’ shade of blue! Auto Text to the rescue!

How to Set It Up

1. Type the text exactly as you’d like to store it.

2 .Select the text.

3. On the Insert Tab of the Microsoft Ribbon, Text Group, click Quick Parts, and then click Save Selection to Quick Part Gallery.

How to Use It

After you save a selection to the Quick Parts Gallery, you can reuse the selection by clicking Quick Parts and choosing the selection from the gallery.
